Refund & Cancellation Policy

1. Overview

This Refund & Cancellation Policy applies to all tickets, bookings, trips, events, and experiences purchased through the Eklavya platform.

Eklavya Group acts as a ticketing and booking platform. Individual events and trips are offered by organisers, and refund outcomes may depend on the nature of the booking, the organiser’s terms, operational circumstances, and applicable consumer law.

By purchasing tickets through the platform, customers agree to this Refund & Cancellation Policy.

2. General Refund Position

Unless otherwise stated on the specific event or trip listing, ticket purchases are generally treated as final and non-refundable once confirmed.

Customers are strongly advised to review all event details carefully before completing a booking, including date, time, location, inclusions, exclusions, suitability, and any event-specific rules.

3. Customer Cancellation Requests

If a customer wishes to cancel a booking, the request must be submitted in writing through email:

Customer cancellation requests will be reviewed in accordance with:

  • the event or trip terms;
  • the organiser’s cancellation conditions, if applicable;
  • the timing of the request;
  • any legal rights that may apply.

Submitting a request does not guarantee that a refund will be approved.

4. Event Cancellation by Organiser

If an organiser cancels an event or trip, Eklavya Group or the organiser may offer one of the following, depending on the circumstances:

  • a full refund;
  • a partial refund;
  • transfer to a rescheduled date;
  • store credit or booking credit, where clearly communicated and legally permitted.

Where a full refund is approved due to organiser cancellation, the refund will usually be made to the original payment method used at checkout.

5. Postponed or Rescheduled Events

Where an event or trip is postponed or rescheduled, customers may be offered:

  • a replacement booking for the new date;
  • a transfer option;
  • a refund, where applicable and reasonable in the circumstances.

The availability of a refund may depend on the nature of the change and whether the revised event remains materially similar to the original booking.

6. Material Changes

If there is a material change to an event or trip, such as a significant change to date, core location, or essential format, customers may contact Eklavya Group for review of available options.

Minor changes, administrative adjustments, or non-essential alterations may not qualify for refund eligibility.

7. Non-Attendance

If a customer fails to attend, arrives late, is refused entry due to failure to comply with event terms, or does not use the purchased ticket, no refund will ordinarily be issued unless required by law.

8. Fraud, Abuse, and Unauthorised Claims

Eklavya Group reserves the right to refuse refunds where there is evidence of:

  • ticket misuse;
  • fraudulent activity;
  • unauthorised chargeback behaviour;
  • abuse of refund procedures;
  • breach of platform terms.

9. Processing of Approved Refunds

Where a refund is approved, Eklavya Group will aim to process it within a reasonable time. Actual receipt of funds may depend on the customer’s bank, card issuer, or payment provider.

Booking fees and platform charges may be non-refundable unless otherwise required by law or where the refund is due to organiser cancellation or platform error.

10. Organiser Liability for Refunds

Where refunds, chargebacks, or compensation claims arise due to organiser cancellation, misrepresentation, non-performance, or breach of obligations, Eklavya Group reserves the right to recover or deduct the relevant sums from organiser payouts.

11. Exceptional Circumstances

Refund requests relating to exceptional personal circumstances may be considered at Eklavya Group’s discretion and/or referred to the organiser. Supporting evidence may be requested where appropriate. Approval is not guaranteed.
